Exhibition Guidelines

• Exhibiting companies are responsible for ensuring that their exhibit staff meets and possesses the necessary travel and visa requirements for participation in ICBN 2007 in Singapore.
• All exhibitors are responsible for their own exhibition materials, including unpacking and shipping literature or other materials back to their companies.
• Exhibitors may use any shipping company they prefer and are responsible for their own shipping documents.
• Only tabletop displays that fit on the exhibit tables will be permitted. Regular exhibition displays that take up 8-feet x 10-feet space are not permitted due to space limitations.
• Exhibitors are not allowed to place any display on the tabletop that is over 8 feet in height.
• Organizers should be informed of additional requests for AV equipment/support, powerpoints, tables or other logistical needs by 31 July 2007. Additional rental rates will be charged accordingly.
• The organizers are not responsible for any unsecured items left in the exhibition area.
• Exhibitors are not to solicit attendees in sessions or distribute their materials during social events.
• The organizers will determine the placement of tabletop exhibits on a first-come-first-served basis and their decision is final. The organizers also reserve the right to make amendments to the exhibition floor plan.
• All exhibits must be removed from the exhibition space by 1800hrs on 15 August 2007. Items that are left behind will be disposed at the discretion of the organizers.

Payment Details

• Exhibition rental rates are subject to a 5% Goods and Services tax, which is payable by the exhibitor.
• All rentals must be paid in advance no later than 30 June 2007. Any exhibitor who has not paid in advance will not be allowed to participate in ICBN 2007.
• Full payment must be made in advance to confirm participation.
• Payment can only be made using the following methods:
  • Credit card payment online via www.icbn2007.com
  • Checks issued by Singapore-based banks and made out to "Institute of Bioengineering and Nanotechnology". Please write your company name and contact details at the back of the check before mailing it to ICBN 2007 Secretariat, 31 Biopolis Way, #04-01 The Nanos, Singapore 138669.
  • Bank transfer by 30 June 2007 to "Institute of Bioengineering and Nanotechnology", A/C No: 0819169012, Citibank, N.A., Address: 300 Tampines Avenue, Singapore 529653 (Swift Code: CITISGSG)
• All taxes, bank charges, commissions incurred through bank transfers, as well as processing charges for credit/charge card transactions are payable by the exhibitor.

Cancellation and Refund Policy

• Notification of cancellation and requests for refunds must be sent in writing to the ICBN 2007 Conference Secretariat. Only cancellation and refund requests made in writing will be accepted.
• Cancellations and refund requests received before 30 April 2007 will be subject to a 10% administrative charge.
• A 50% refund and full documentation will be given if the cancellation and refund request is given in writing by 30 June 2007.
• No refunds will be made for cancellations and refund requests received after 30 June 2007.
• All refunds will be processed after the event.

Conference Badges

• Exhibitors are requested to wear their exhibitor badge at all times during the conference. The organizer reserves the right to refuse entry to individuals who do not display their exhibitor badge.
• Exhibitors are allowed entry only to the designated exhibition and coffee/tea break areas, as well as the Conference Banquet. Exhibitors who wish to attend Scientific Sessions need to register as conference delegates.
• In case of loss, exhibitors must re-register using their confirmation letter and their exhibitor registration number. Lost badges will be re-issued at a cost of USD 100 or SGD 160.
